How do you calculate the total on an invoice?
Multiply each line by its quantity to get line totals, add them for the subtotal, subtract any discount, then charge tax on the discounted amount and add shipping last. Total = (subtotal − discount) + tax + shipping. Taxing before the discount overcharges the customer and misstates the tax owed.
Understanding your result
The order of discount and tax matters more than it looks. Tax is charged on what the customer actually pays, so the discount must come off first — taxing the full amount and then discounting the total overcharges them and misstates the tax you owe. Two practical habits save trouble later: number invoices sequentially, because most tax authorities require an unbroken series, and state payment terms explicitly. “Payment within 30 days” with a due date on the document is far more collectable than an unstated assumption, and it is the single easiest change that gets freelancers paid faster.
Formula and method
Each line total is quantity × unit price. The subtotal is the sum of those lines. The discount is taken off the subtotal first, tax is charged on the discounted amount, and shipping is added afterwards: total = (subtotal − discount) + tax + shipping.
Assumptions and limitations
This produces a document; it does not track payments, send reminders, store client records or handle recurring billing. There is no logo upload, and the PDF uses a standard font set, so characters outside the Western European range are stripped rather than rendered. Invoice requirements differ by country — many require a sequential number, your registered address and a tax registration number — so check your local rules before sending.
Worked example
Three lines totalling 3,765 with 20% VAT produce 753 of tax and a total due of 4,518. Apply a 10% discount first and the taxable amount falls to 3,388.50, giving 677.70 tax and 4,066.20 due.
